This guide explains how administrators can invite new users to their organization and manage existing members within the Vulgate platform.
Video Tutorial:
Step-by-Step Instructions
Accessing Organization Settings:
Log in to your Vulgate account.
Click on Settings in the left-hand navigation sidebar.
Within the Settings page, select the Org Settings tab located near the top.
Inviting New Members:
On the Org Settings page, scroll down until you see the Invite Members section.
In the Email field, enter the email address of the person you want to invite.
Click the dropdown menu under Role and select the appropriate permission level for the new member:
User: Can access core features like 'Chat with Library' and 'Inventory Search', and view documents.
Admin: Has all User permissions, plus the ability to upload, manage, and delete documents, and manage organization settings (including inviting other users).
(Optional) If you need to invite multiple people at once, click the + Add more button to add additional email/role fields.
Once you have entered the email(s) and selected the role(s), click the Invite button. An email invitation will be sent to the specified address(es).
Managing Existing Members and Pending Invitations:
On the Org Settings page, scroll down to the Members section.
This section has two tabs:
Members Tab: Displays a list of all users who have successfully joined your organization, along with their assigned role. You can search for specific users using the search bar. (Note: Functionality to modify or remove existing members might be present here - adjust this point based on actual platform features not fully shown in the short clip, e.g., "Click the three dots next to a member to modify their role or remove them.")
Pending Invitations Tab: Displays a list of all email invitations that have been sent but not yet accepted by the recipient. You can see the email address invited and the role assigned.
To cancel an invitation that hasn't been accepted yet, go to the Pending Invitations tab.
Locate the invitation you wish to cancel.
Click the three dots (...) icon at the far right of that invitation's row.
Select Delete Invite from the options that appear. This will revoke the invitation.
Following these steps allows administrators to effectively manage user access and collaboration within their Vulgate organization.
