Billing and invoices

Find your receipts, change your payment method, and update tax details.

Vulgate generates an invoice for every payment automatically. This guide covers how to find them, update your payment method, and add tax details.

Open Billing

  1. Sign in as an Organization Owner or Super Admin (only these roles can see billing).
  2. Click Settings in the sidebar.
  3. Open the Billing tab.

Download a receipt or invoice

Scroll to the Invoices section. Each row shows the invoice date, amount, status (paid / pending), and a PDF link. Click the PDF icon to download.

Invoices include:

  • Vulgate's tax registration details.
  • Your Organization's billing address and tax ID (if entered).
  • The line items, pro-ration, and any discount applied.
  • Payment method (last 4 digits of the card or Invoiced).

Update your payment method

  1. In the Billing page, scroll to Payment method.
  2. Click Edit to change the existing card details, or + Add new to add a second card.
  3. If you have multiple cards saved, select which one is the default for future charges.
  4. Click Save.

Cards are stored securely with Stripe; Vulgate never sees the card number itself.

Add or update your billing address

  1. In the Billing page, scroll to Billing details.
  2. Click Edit billing address.
  3. Enter the legal billing address that should appear on your invoices.
  4. (Optional) Add your Tax ID or VAT number. Vulgate applies the correct tax treatment based on your country and tax status.
  5. Click Save.

The new address takes effect on your next invoice. Past invoices are not retroactively edited.

Handling a failed payment

If a renewal payment fails:

  • We send an email to the Owner with the reason.
  • The Organization stays on the current plan for a 7-day grace period.
  • After 7 days, the Organization is downgraded to the Free plan; members continue to have access, just with the Free plan's lower limits.

Resolve the issue from Billing → Payment method: update the card, click Retry payment, and the subscription resumes within minutes.

Refunds

Refunds are issued case-by-case. The fastest path is to email info@vulgate.ai with the invoice number and a short description of the issue. We aim to respond within one business day.

Tax and VAT

Vulgate is registered for VAT in the EU and for sales tax in applicable US states. Whether your invoice includes tax depends on:

  • Your billing country.
  • Whether you've entered a valid Tax ID / VAT number.
  • The jurisdiction's rules for digital services.

If your invoice tax treatment looks wrong, double-check the tax ID format and country code in Billing details, then contact us if it still doesn't match expectations.
